Controlled copies
“Uncontrolled copy when printed” only means something if you can say which copies are controlled. The register says who holds a numbered copy; everybody else’s download is marked on the way out.
What happens when you download
Section titled “What happens when you download”- If you hold a controlled copy — as a named person, or through a job that holds one — you get the approved PDF as it is.
- If you do not, every page of your download carries a band naming you and the moment you took it, marking it as an uncontrolled copy.
The approved master is never changed; the band is drawn on your copy only. If the mark cannot be applied, the download is refused rather than handing out an unmarked copy that would look like the master.
Reading in the viewer is not taking a copy, and is never marked.
The register
Section titled “The register”Open the document and select Controlled copies. Who holds a copy lists every numbered copy.
To issue a copy:
| Field | Notes |
|---|---|
| Held by | What is printed on the register — a person, a job, or a place, for example Quality Manager. |
| Medium | Electronic or Paper. |
| The person, if it is a person | Links the copy to somebody, so their downloads are not stamped. |
| The position, if it is a job | The better choice for a post-holder: the copy stays with the job when the person changes. |
| The station, if it is a place | For a copy kept at a line station. |
Select Issue copy. Numbers are assigned in sequence and never reused.
To record a copy coming back, select Take back, give a reason such as Holder left the airline, and confirm.
The distribution list generated page in the PDF is produced from this register.
