Suppliers
The supplier register says who works for you, under which approval, and when each is next due an audit. A supplier is taken on through evaluation — and only an independent decision approves it.
Take on a supplier
Section titled “Take on a supplier”Open Audits › Suppliers and select Take on a supplier.
-
Who and what — the supplier, the services it provides (picked from your list), and whether it performs an outsourced operational function.
-
Approvals and registrations — the approving authority and its approval reference. If you rely on an IOSA or ISAGO registration, attach the latest audit report.
-
Risk — choose a risk band. It proposes the audit interval and how often the supplier is reviewed.
-
Evaluation against your airline’s selection criteria.
-
The agreement, and the specific requirements the supplier is monitored against.
-
Decision — by somebody holding Close out completed audits who did not carry out the evaluation.
-
The oversight plan.
A supplier starts as Proposed. Only the decision approves it.
Status
Section titled “Status”| Status | Meaning |
|---|---|
| Proposed | Being evaluated. |
| Approved | May be used. |
| Restricted | May be used, within limits. |
| Suspended | Not to be used for now. |
| Withdrawn | No longer a supplier. Cannot be audited. |
Restricting, suspending and withdrawing all need a reason. Every change is kept — none is ever rewritten.
When a supplier is due
Section titled “When a supplier is due”Worked out, never typed:
- Next audit — the last day of its latest reported audit, plus its interval. A supplier with an interval that has never been audited is due now.
- Approval — read from its expiry date.
- Coming due means within 60 days. The Overview tells planners how many suppliers are due an audit and how many approvals are running out.
Auditing a supplier
Section titled “Auditing a supplier”Plan it like any audit (Plan and prepare an audit) and choose Or a supplier instead at the scope step. Its findings go to the supplier’s owner post, which enters the supplier’s answers. The supplier’s report has its own QR verification, showing only the supplier’s name, the fieldwork dates and the number of findings.
On the supplier’s page, Record this review to log a review against its requirements, and see its scorecard: the same figures as Insights, for that supplier, over 24 months.
Importing the register
Section titled “Importing the register”Use the supplier import with its spreadsheet template — its columns are dropdowns. Every row is previewed before anything is saved, and a name already on the register is refused rather than overwritten.
